01 The two plans
T.Byrd's Heating & Cooling offers two maintenance plan products. The two plans share the same benefit list; eligibility, pricing, and a couple of extras differ.
Cardinal Club
- Open to any residential customer in the T.Byrd's service area
- $14.99 per month per system, or $180 per year per system
- Auto-renew billing (monthly or annual, member's choice at enrollment)
- Cancel anytime, no penalty
Mission Ready Plan
- Available to first responders, teachers, and military members
- FREE, no monthly fee, no annual fee
- Eligibility verification required (see Section 03)
- One-year membership term, auto-renews with re-verification
- Cancel anytime, no penalty
Both plans are sold and managed through Workflo product widgets on the per-market signup pages: Charlotte at /cardinal-club-concord/ and Raleigh & Triangle at /cardinal-club-raleigh/. Each market has its own Workflo subaccount; both products are configured in each.
02 What's included
Per system, per active month, the membership entitles the member to the benefits below. Cardinal Club benefits apply to every active member of either plan. Mission Ready Plan members receive every Cardinal Club benefit plus two extras (items 8 and 9).
Cardinal Club benefits (both plans)
- 1. Two seasonal tune-ups per membership year. One spring AC tune-up (30-point inspection including refrigerant level, wiring, compressor, motors, thermostat; chemical condenser coil cleaning; condensate drain flush; ductwork evaluation; indoor air quality evaluation). One fall furnace tune-up (30-point inspection including heat exchanger, flue piping, burner flame, wiring, motors, thermostat; clean flame sensor, furnace compartment, and pressure switch port; condensate drain flush on 90%+ furnaces; ductwork evaluation; indoor air quality evaluation). Heat pump systems receive one cooling-side and one heating-side tune-up. Mini-split-only households schedule tune-ups at owner-elected seasonal moments.
- 2. 10% off all repairs performed by T.Byrd's on the covered system. Discount applies to labor and parts at T.Byrd's invoiced rate. Does not stack with promotional pricing.
- 3. 5% off new equipment installations and system replacements performed by T.Byrd's. Discount applies to the system and labor portion of the install quote.
- 4. Weekend and holiday service at no extra charge. When the covered system needs service outside normal business hours, standard labor and parts still apply; only the after-hours premium is waived.
- 5. 24/7/365 answering service for both markets, available to all members.
- 6. Priority scheduling for the covered system during high-demand periods (the first heatwave of summer, the first hard freeze of winter). Members are scheduled before non-members.
- 7. Transferability. If you move within T.Byrd's service area, the membership moves with you to the new home's HVAC system. If you sell the home, the remaining membership may be transferred to the new owner at your written direction (one-time transfer per membership year, no transfer fee). Plan transfer includes a free home inspection at the new property.
Service-call / diagnostic fees: Cardinal Club members pay the standard $77 service-call / diagnostic fee, the same fee that applies to non-members. The $39 rate is exclusive to the Mission Ready Plan.
Mission Ready Plan additional benefits
Mission Ready Plan members receive every Cardinal Club benefit listed above, plus the two extras below. These extras are exclusive to the Mission Ready Plan; they are not available to standalone Cardinal Club members.
- 8. $39 service-call / diagnostic fee on the covered system, versus the standard $77. Applies on every diagnostic visit during active Mission Ready Plan membership.
- 9. Additional 5% off all work (repair, replacement, installation) for first responders, teachers, and military enrolled in the Mission Ready Plan. Qualifying customers receive this benefit automatically by enrolling in the (free) Mission Ready Plan.
03 Mission Ready Plan eligibility and verification
The Mission Ready Plan is free, but eligibility requires verification.
Who qualifies
- Active first responders (police, fire, EMS, sheriff's department, paramedic services, dispatchers)
- Active military (all branches, active duty, reserves, National Guard)
- K-12 teachers and school staff (paraprofessionals, special education, instructional support)
- Retired military with documentation
Verification methods
Any one of the following:
- Employer letter on official letterhead confirming current employment in a qualifying role
- Active employee ID badge (photo and role visible)
- DD-214, pension card, or VA ID (military, retired military)
- Recent pay stub from a qualifying employer (within the last 90 days)
- Other verification methods accepted at T.Byrd's discretion
Verification process
- Submit documentation through the Mission Ready Plan application form on the per-market signup page
- T.Byrd's reviews documentation promptly, typically within a few business days
- Approved applications activate immediately; the member receives a confirmation email and welcome details
- Denied applications receive an explanation; applicants may re-submit with different documentation or enroll in Cardinal Club at the standard $14.99/month rate
Renewal verification
Mission Ready Plan members re-verify eligibility annually at membership renewal. If qualifying status changes mid-year (retirement, role change, employment change), the member may continue under existing terms through the current renewal date; subsequent renewal requires Cardinal Club enrollment at $14.99/month.
Misrepresentation
Knowingly false verification documentation may result in membership termination and back-charges for benefits received during the misrepresented period. T.Byrd's reserves the right to verify documentation with the issuing employer.
04 What's not included
Stated plainly so there is no confusion:
- Installations, replacements, system upgrades are not included in membership. They are quoted separately. The 5% Cardinal Club discount applies; Mission Ready Plan members receive the additional 5% on top.
- Refrigerant at standard pricing
- Permits and code-required additions during a repair, at standard pricing
- Parts under repair are discounted at 10%, not free
- Diagnostic visits for systems outside the membership at the standard $77 service fee for Cardinal Club members and non-members alike, or $39 for Mission Ready Plan members
- Indoor air quality testing beyond what is standard in a tune-up is a separate engagement
- Service from other contractors on the covered system may impact plan benefits (see Section 11)
05 Pricing and billing
Cardinal Club
- Price: $14.99 per month per system, or $180 per year per system, USD
- Billing cycle: monthly on the calendar day of original enrollment, or annual at the member's choice
- Payment method: credit card or ACH stored securely via Workflo's payment processor; T.Byrd's stores only the token reference
- Auto-renewal: membership renews automatically each month or year until cancelled
- Price changes: T.Byrd's may change the price for renewals with 30 days' written notice to members. Notice is sent to the email address on file. Continued membership after the effective date of the change constitutes acceptance of the new price.
- Failed payment: member is notified and a payment method update requested. Service benefits are paused after a 30-day grace period if payment remains uncollected.
- Refunds: see Section 08
Mission Ready Plan
- Price: $0.00 per month per system. No fee.
- Billing: none; no payment method required at enrollment
- Renewal: auto-renews annually with eligibility re-verification (see Section 03)
- Program changes: if T.Byrd's discontinues the Mission Ready Plan, current members are given 60 days' notice and the option to transition to Cardinal Club at standard pricing or continue benefits through the current membership year at no charge
06 Cancellation
You may cancel anytime. No penalty, no minimum term, no early-termination fee. This applies to both plans.

Effective date of cancellation: the day T.Byrd's receives your cancellation request.
What happens to remaining benefits
- Tune-ups not yet used in the current membership year are forfeited at cancellation (not refundable as cash; not transferable as service credit beyond the membership year)
- 10% repair discount ends immediately
- 5% installation discount ends immediately
- Weekend / holiday no-surcharge benefit ends immediately
- 24/7 answering service remains available for emergency dispatch, but standard after-hours pricing applies
- Front-of-line scheduling ends immediately
- Mission Ready Plan only: the $39 service-call rate and additional 5% off all work end immediately; subsequent service calls billed at the standard $77 with no additional 5%
07 Membership year and tune-up allotment
- The membership year runs from the calendar day of enrollment to the same day 12 months later
- Two tune-ups per membership year; tune-ups do not roll over
- T.Byrd's reaches out to schedule each tune-up; the member is responsible for scheduling within the membership year
- If T.Byrd's is unable to provide a scheduled tune-up due to T.Byrd's capacity, the tune-up window extends until the tune-up is completed
- If the member cannot accommodate scheduling during a season (vacation, life events), one tune-up may be deferred up to 60 days past the membership-year end at T.Byrd's discretion
08 Refund policy
Cardinal Club
- Past months: non-refundable
- Current month: non-refundable at cancellation; we honor the rest of the paid month
- Annual prepay: the annual rate ($180/year) is equivalent to twelve months at the standard monthly rate. If you paid annually and cancel mid-year, you receive a refund for full unused months prorated at the monthly equivalent. There is no separate annual prepay discount.
- T.Byrd's-initiated cancellation due to no fault of the member: refund of any prepaid unused months (for example, if T.Byrd's exits the service area)
Mission Ready Plan
- No refunds applicable (no payment collected)
- If T.Byrd's discontinues the program, current members complete the current membership year at no charge
09 Missed appointments and no-shows
Applies to both plans:
- Tune-up appointments are confirmed by email or SMS 24 hours prior
- Cancellation or reschedule with 24-hour notice does not impact the tune-up allotment
- Less than 24-hour notice or no-show may count against the annual tune-up allotment at T.Byrd's discretion; we will warn before counting
- Repeated no-shows may result in membership termination per Section 11
10 Property access and home conditions
- The member must provide safe, reasonable access to the covered HVAC system
- If access is blocked (locked space, hoarded conditions, unsafe pets, unsafe structural conditions around the system), T.Byrd's may decline service for that visit and request that the member resolve the access issue before rescheduling
- T.Byrd's is not obligated to perform service in unsafe conditions
11 Suspension and termination by T.Byrd's
T.Byrd's may suspend or terminate a membership (either plan) for cause:
- Non-payment after the grace period (Cardinal Club only, see Section 05)
- Misrepresentation of eligibility for the Mission Ready Plan (see Section 03)
- Repeated no-shows (see Section 09)
- Third-party tampering with the covered system that voids warranty or makes safe service impossible
- Abusive behavior toward T.Byrd's technicians or staff
- Service area exit: if T.Byrd's no longer services the member's location, membership is terminated with refund of unused prepaid months (Cardinal Club)
T.Byrd's will provide written notice except in cases of safety or emergency.
12 Changes to these terms
- Material changes (price, benefits, eligibility, cancellation) are announced via email to members with 30 days' notice before the effective date
- Non-material changes (clarifications, typo fixes, contact info updates) are effective immediately on update
- The "Last reviewed" date at the top of the page reflects the most recent change
- Continued membership after the effective date of a change constitutes acceptance
